How to migrate from manual processes or existing tools to CockpitMod add-ons without disrupting your hotel operations.
Migration philosophy
CockpitMod add-ons are designed to work alongside your existing workflows during a transition period, not to require a hard cutover. You can activate a module and run it in parallel with existing processes while you validate its outputs, then decommission the manual process once you are confident the module is working correctly.
Step 1: Inventory your current workflows
Before activating any CockpitMod module, document the current manual workflow it will replace: who does it, how long it takes, what tools or spreadsheets are involved, and what the output looks like. This inventory becomes the validation checklist for the module's first weeks of operation.
Step 2: Configure and activate
Activate the module via your CockpitMod account. Complete the guided setup checklist. For data-heavy modules like Invoice Automation or Corporate Rate Manager, you will need to enter existing contract or configuration data into the module during setup. Allow 1–2 hours for this initial data entry.
Step 3: Parallel run
Run the module in observation mode for the first 2–4 weeks while continuing your existing manual process. Compare the module's outputs with what your manual process produces. Log any discrepancies and contact support@cockpitmod.org with details. Most discrepancies are configuration issues that are resolved quickly.
Step 4: Decommission manual process
Once you are satisfied that the module is producing correct outputs consistently, decommission the manual process. Archive any spreadsheets or documents used by the old process for reference. Inform team members affected by the change.
